    Active/Retired Assets

    There are times when an asset is out of commission for an extended period of time, sometimes up to 90 days.  In c.Support, in order to remove an asset so that it does not show up on our views and reports, the only option is to delete the asset.  We have been told by GWI support that deleting the asset record will cause the database maintenance agent to scrub the asset record from the database, deleting all of the asset’s profile information. 

    Similarly, when equipment is no longer utilized in our environment, we sell or donate it.  However, we would still like to retain the asset profile information, especially if we have created a number of custom fields specific to our company's needs.  In c.Support, if you delete the asset, you also lose the important historical data as well.  For our SysOps Manager, this is not an option.        

     

    In both of these cases, we would benefit from being able to re-categorize the asset under a different status, perhaps by toggling from ‘Active’ to ‘Inactive’ or ‘Retired.  As a work-around, what we have done is create a custom field applicable to all assets which allows us to change the status from ‘Active’ to ‘Retired’.  However, this does not prevent these records from appearing in our views.  Instead, we are left to craft our own custom reports in order to filter by this status.

     

    I imagine that all c.Support users could benefit from being able to distinguish between ‘active’ and ‘retired’ assets with the additional functionality of being able to sort and view assets according to these statuses.  This would be similar to the need to distinguish between ‘Open’ and ‘Closed’ incidents. 

    We would really like to see this functionality added in c.Support.

     This would be a nice feature to have.  Our workaround is to asign the asset to the **Scrap** user.  But we end up with the same view problem.

    That is a good idea, Neuro.  I believe what we did was create an asset group called "Retired Equipment" and we add old assets to that group.  What helps us when doing it this way is that we can use the view "Assets by Name" to select mulitple assets and then add them to a single group via the action menu.  Also, we gain the ability to view all "Retired Equipment" together using the view called "Assets by Group".

    However, like you said, the view problem is still there for all 'active' assets...
